Kahua Implementation Project Updates

Pilot Phase 2

We are excited to add more projects to Kahua in July for the second phase of the Kahua pilot! On July 18, 2024, 48 additional projects were migrated into Kahua to join the 10 existing pilot projects. This will allow more users exposure to Kahua and allow them to get more experience using the new project management tool. Any new projects are now being created in Kahua instead of FCP Web as well.

Training and Support

Training began in June 2024 and is continuing throughout July. Training guides and videos can be found in the Training Section of the Capital Programs website. More training videos will continue to be added. The project team will continue to host support sessions to address any university user concerns and challenges. The project team welcomes feedback and encourages pilot participants to join when they can. For any Kahua support needs, initiate a Support Request.

Survey Results

Pilot surveys were conducted and results were shared with the Kahua project steering committee regarding feedback about communication, training, the Kahua website, etc. The project team worked diligently to address any and all concerns and hope the findings are helpful in preparing the rest of the community for a successful deployment coming soon.

We are nearing completion of the Kahua Pilot. Select Capital staff and external users will continue using Kahua for projects they started during the pilot at the conclusion of the pilot. The project team has been hosting support sessions a few times a week to address any user concerns and challenges. Similar sessions will be established for the user community post- go live as well. The project team welcomes feedback and encourages pilot participants to join when they can.

We will soon be conducting a survey for pilot users to provide feedback about communication, training, the Kahua website, etc. Our goal is to prepare our community for a successful and efficient deployment to the rest of the Kahua users in July.

Go Live and Training

Stay tuned for a communication regarding training and Go Live. Go Live is set for mid-July. Training will be conducted in the month of June and will be divided into smaller time slots with information specific to certain roles. Please stay tuned and register for training once the information is available.

We are getting closer to implementing the new Kahua system as the University of Illinois System's new Project Management tool! Please consider this a brief update on the status of the project and where we are headed in the coming months.

Pilot

We recently completed Kahua Pilot project training with a small group of identified Capital staff and external users and have entered the pilot phase where this group has begun working strictly in Kahua with their dedicated projects. The Kahua project team is offering office hours to work through their questions and concerns as they work in the new system.

In the coming weeks, we will also be conducting a survey for pilot users to provide feedback about communication, training, the Kahua website, etc. Our goal is to come out of pilot well prepared for a successful and efficient deployment to the rest of the Kahua users later this year.

(Vendors Only) Affiliate ID Process

External users should see a message on the PRZM dashboard requesting updates to their profile information to begin the process to create a new NetID username for university authentication changes. Pilot users needed to have the new NetID prior to working on their projects during the pilot period. This does not affect you immediately, but each external user will eventually need to complete the new NetID process, and you can update their profile information now to get a head start.

  • Prior to the Kahua go-live, the information you provided will be used to request a NetID. At that point you will receive an email with additional information about the process of claiming your NetID and setting your password.
  • To assist you, here is a step-by-step guide on how to edit your profile in PRZM.

The months ahead are packed with big plans and we are grateful for your continued involvement in the essential testing and training phases that will contribute to the success of this initiative.

Here is the latest update on our progress.

User Acceptance Testing (UAT) - We conducted UAT on January 9 - 11 and completed a second round January 23 - 25 with our vendor. We’ve been pleased with the turnouts for these sessions and the ability to test projects and work through access issues and other concerns on the spot. UAT will help us be more prepared to begin the pilot late February / early March.

Kahua Customer Advisory Group (CAG) - We kicked off the CAG in early January and look forward to meeting with this group monthly. CAG members will help drive the agenda for these meetings and can use this time to address concerns and discuss all things Kahua candidly. Representatives from Capital Programs, Subject Matter Experts, AITS and Operations Change Management will be on hand.

Pilot Kickoff and Training - We will soon be communicating pilot information to capital users and vendors. We are committed to providing comprehensive training, job aids, and resources to help you quickly adapt to and benefit from this improved system. We plan to kick the pilot off in February.

We are working closely with our implementation partner to deliver the best product for the University of Illinois System and our vendors. Design sessions are progressing, focusing on cost applications to facilitate project budget creation and tracking, contract documentation, and the payment application process. This ensures that specific needs are considered and adapted to our liking and is a crucial step in familiarizing our team with the system's look and feel.

We have made significant progress with our implementation partner and will soon start sharing initial training opportunities to provide a general understanding of the first few applications that will be available in Kahua. This is an essential step in familiarizing you with the system's look and feel.

The design and configuration phase for Kahua is still ongoing. Keep in mind that in this phase, system design and configuration are the priority. We will customize as necessary to fulfill university requirements. We are committed to ensuring that both University of Illinois and vendor specific needs are considered and adapted to our liking and will engage in ongoing customization efforts to help us maximize the benefits of the system after go-live.

Project Overview

Capital Programs elected Kahua as our new Project Management tool. The Kahua implementation initiative represents a significant step forward in enhancing our project management capabilities, benefiting both our Capital Construction Units’ staff and our valued vendors.

We are committed to achieving greater efficiency, consistency, and tracking through the use of Kahua, a comprehensive project management tool designed to streamline our operations and align with industry standards. We are making every effort to reduce duplication of effort and modernize the solution by tracking projects within a single application allowing us to manage Capital Programs projects from start to finish.

Project Timeline

Kahua project timeline part 1. The project began with planning and release 1 in May and June 2023. Release 2 occurred in fall 2023, and release 3 started in January 2024.

Kahua project timeline part 2. Traiing begain in June 204, and the project is currently in phase 2. The remaining projects go live occurs in October or November 2024, and long term goals include additional integrations, application enhancements, and other addons.
